Transcript FAQ

Only the summary totals of transfer work received by Chico State appear on your transcripts; individual courses are not listed. If you need copies of transcripts supplied to Chico State, please contact the institution that originally issued your transcript to request a copy.

What are the three sets of numbers at the bottom of my transcripts?

For each semester your Term GPA, Chico GPA, and Cumulative GPA are calculated.

Cumulative totals for your career appear at the very end of your transcript.

The columns for each of these values are Attempted Units, Earned Units, and Grade Points. These values are used to calculate your GPA.

The GPA Calculator may help you project your GPA based upon estimated current semester grades.

Will the transcripts show that I have finished my degree?

Degrees are typically awarded 8-10 weeks after the end of the semester.

You may submit an official transcript request online (opens in new window) and request that it be held for your degree. Typically transcripts are released 3-5 business days from the date your degree is posted to your record. Review your unofficial transcript in the Portal to determine if your degree has been posted to your record.

You may also review your unofficial transcript in the Portal to determine if your degree is reflected on your transcript. Once verified, you may request a transcript online with Processing Option Now. If it appears on your unofficial transcript it will be reflected on your official transcript.

Where do I return my consent form?

For online orders, you may be given the option to provide your signed consent using a computer mouse. If you are given this option, please be aware that mobile devices are not currently compatible with the consent form. You may access a computer and retrieve your order using the order number and the email used to place the order here.

For all online orders, paper consent can be faxed, emailed, or mailed. Retrieve your order using the order number and email used to place the order here. Print the consent form, sign it, and:

Why can't I sign the transcript request consent using my phone?

Orders placed online that allow a mouse signature are not currently compatible with mobile devices. You may submit your order using your mobile device, but your signature of consent must be completed using computer mouse. You may also print out the consent form, sign it, and then fax it to (707) 742-4238 or email it to transcripts@studentclearinghouse.org .

When do my grades or degree appear on my official transcript?

Grades are typically available 3 weeks after the grades deadline for the semester. Review Dates & Deadlines or the Academic Calendar for grade deadlines.

Degrees are typically awarded 8-10 weeks after the official graduation date for the semester.

You may request an official transcript online and request that it be held for semester grades or your degree.

How do I get my transcript certified, notarized, or authenticated with an apostille?

Chico State can notarize official transcripts. Place your order online and add this request to Special Instructions when placing your order so that notarization can be coordinated. There is no extra charge for this authentication, but it can extend the processing time by several days.

If you require apostille, review the California Secretary of State's website for additional instructions. Chico State is not able to coordinate the apostille process, but you may request that your Chico State transcript be mailed to a friend or relative to coordinate the apostille process.

Chico State is not able to coordinate other authentications for embassies or agencies, but you may upload or submit copies of documents to accompany any transcript request if necessary.

Why do my 800 Level courses look different on my transcript?

800 Level classes do not apply to degree requirements, so only units attempted are reflected on the transcript. A grade of CR on the transcript indicates successful completion of the units. This letter provides further explanation. (PDF)

Orders

How long will it take to receive my transcripts?

Regular processing is typically 7-10 business days, but can take up to 14 business days during our peak processing times, plus additional time for mailing.

Rush processing is typically 2-3 business days, but can take up to 5 business days during our peak processing times, plus additional time for mailing.

Peak times are usually the beginning and end of each semester and business days before and after our closure dates.

I made a mistake on my order. What do I do?

If changes are required for an order submitted to our office, please let us know the change as soon as possible via email at registrar@csuchico.edu.

For online orders, please provide your order number, your daytime phone number, and the requested change.

For all other orders, please provide your name, the date of the order, the recipient information, and the requested change.

What shipping method should I choose for international delivery?

Orders are mailed by First-Class Mail through the United States Postal Service (USPS). There is no additional charge for First-Class Mail delivered to an international address. If you prefer expedited delivery or the ability to track your order, you may request FedEx delivery by ordering online.

Has my order been processed?

Place your order online to receive updates on the status of your order via email or text message. Updates are sent when your order has been received, if additional information is needed, and when your order is complete. You may track your order online using your order number and the email address you used to place the order.

Updates are not available for orders placed using our form.

If I place an order in person, will it be ready the same day?

Processing timelines are 2-14 business days. You may place an order online to be picked up and you will be notified when it is ready.

You may access your unofficial transcript via the Portal or order an unofficial at our office on-campus, which are typically available while you wait. See Unofficial Transcript Requests for more information.

What does the official transcript order come in?

Transcripts sent directly to the student are individually sealed. If multiple transcripts are requested, each is individually sealed and placed in a larger envelope for delivery.

Transcripts sent directly from Chico State to another institution or agency are not individually sealed.

My transcript has not yet been received. What do I do?

Online orders can be tracked using your order number and the email address provided in your order here.

Mailed in orders can be reviewed by staff. Send your inquiry to registrar@csuchico.edu or call (530) 898-5142.

If, after 10 business days, the transcript has still not received by the recipient, please contact our office.

Can I log back in to my transcript request and complete it at a later time?

For online orders, your signature consent is the only item that may be submitted at a later time. All other order information must be completed at the time you place the order.

Cost & Payments

What is the cost of my total order?

The amount due for transcript orders is based upon the number of transcripts requested for each recipient.

How do I pay for my transcript?

You may submit an official transcript request online (opens in new window) and pay using a credit or debit card. Visa, MasterCard, American Express, and Discover are accepted.

You may submit an official transcript request form (PDF) by mail with check or money order.

Requests are also accepted on-campus in SSC 110. Accepted payments are cash, check, money order, wildcat card, and credit card.

How much does it cost to rush a transcript order?

Rush processing is $8 in addition to the fees assessed for the number of transcripts ordered. Order online to determine the cost based upon the recipient, Delivery Method, and quantity ordered. If ordering by mail, review the official transcript request form (PDF) to determine the amount due.

How much does it cost to FedEx my official transcript?

The FedEx delivery charge listed below is in addition to the transcript fees and is available for orders placed online.

What is the quickest way to get my official transcript order to Chico State?

Place your order online and as soon as your consent is received your order will be reviewed by Chico State staff the following business day.

What is the quickest way to get unofficial transcripts?

If you attended Chico State in any term after Summer 2004, you may use the Portal to retrieve academic information.
